We are deeply committed to protecting the privacy, security, and confidentiality of all data entrusted to us by educational institutions, school administrators, teachers, staff, parents, and students. This Privacy Policy outlines how we collect, use, store, process, and protect your information across our website, web dashboards, admin panels, mobile applications (Parent, Staff, and Driver apps), desktop biometric agents, and associated services (collectively, the "Platform").

By accessing, registering for, or using Shiksha Portals, you consent to the data collection and processing practices described in this Privacy Policy. To provide a comprehensive school management ecosystem, we collect various categories of information depending on how you interact with the Platform:

  • Institutional & Administrative Data: School name, address, official email addresses, contact numbers, tax/GST details, custom domain configurations, and banking/payment gateway credentials provided during onboarding.

  • User Account & Profile Information:

    • For Staff & Teachers: Names, employee IDs, qualifications, attendance records, payroll details, and contact information.

    • For Parents & Guardians: Names, email addresses, phone numbers, billing addresses, and relationship details to students.

    • For Students: Names, admission numbers, roll numbers, class/section, date of birth, academic grades, attendance logs, disciplinary notes, and medical information provided by the school.

  • Biometric & Attendance Data: Attendance logs synchronized via ZKTeco biometric devices or Windows biometric desktop agents, and real-time GPS coordinates tracked via school bus driver mobile apps.

  • Financial & Transactional Data: Fee payment histories, transaction reference numbers, and invoice logs. Note: Sensitive payment card details (Credit/Debit card numbers or UPI PINs) are processed directly through secure third-party payment gateways (e.g., Razorpay, Paytm, HDFC) and are never stored on Shiksha Portals servers.

  • Technical & Device Data: IP addresses, browser types, device information, operating systems, login timestamps, and cookies used to secure session data and optimize web portal performance.

2. How We Use Your Information

We utilize the collected information strictly for the operation, maintenance, and enhancement of the Platform, including:

  • Providing Core SaaS Services: Managing student admissions, generating automated report cards, tracking attendance, processing school fee payments, and managing staff payroll.

  • Communication & Notifications: Sending real-time alerts, school notices, fee reminders, and attendance updates via WhatsApp API, SMS, and email notifications.

  • AI-Powered Features: Operating intelligent modules such as the AI Timetable Builder, lesson plan generator, fee defaulter predictor, and student risk analytics.

  • Platform Security & Authentication: Enabling single sign-on (SSO) via Google/Microsoft accounts, maintaining granular role-based access control (RBAC), and conducting automated cloud database backups.

  • Customer Support: Resolving technical queries submitted through the parent/staff helpdesk and maintaining service reliability.

3. Data Sharing and Disclosure

We do not sell, trade, or rent your personal or institutional data to third parties. We may share information only under the following strictly controlled circumstances:

  • With the Subscribed Educational Institution: Institutional data, student performance metrics, and attendance records are fully accessible to authorized School Admins and staff of the respective subscribing school.

  • Service Providers & Cloud Infrastructure: We utilize secure cloud infrastructure providers (such as AWS) to host multi-tenant databases under strict confidentiality and security covenants.

  • Integrated Third-Party Services: Data necessary to complete specific workflows is shared with verified integration partners, such as payment gateways (Razorpay, Paytm), communication providers (WhatsApp Business API, SMS gateways), and virtual classroom tools (Zoom, Google Meet).

  • Legal & Regulatory Compliance: We may disclose information if required to do so by law, court order, or governmental regulation under Indian jurisdiction (such as complying with the IT Act, 2000 or DPDP Act, 2023).

4. Data Security and Storage

  • Bank-Grade Encryption: All data transmitted between users and the Platform is protected using 256-bit SSL encryption. Data at rest within our multi-tenant cloud servers is secured using AES-256 encryption.

  • Access Control: We enforce strict Role-Based Access Control (RBAC), ensuring that users only access data relevant to their authorized institutional role.

  • Backups: We maintain automated daily encrypted cloud database backups to prevent data loss and ensure quick disaster recovery.

5. Data Retention

  • Institutional data is retained for the active duration of the school's SaaS subscription agreement.

  • Upon subscription termination or cancellation, schools are provided a 30-day window to export their data. Following this grace period, all tenant data is securely archived and permanently deleted from our active production servers, subject to legal and statutory retention requirements.

6. Your Rights and Choices

Depending on applicable data privacy laws, you (or your school's legal guardians) possess the following rights regarding your personal data:

  • Access & Review: Request a summary of the personal data held by the institution and Shiksha Portals.

  • Correction: Request the correction of inaccurate or incomplete profile, contact, or administrative records through your School Admin.

  • Consent Withdrawal: Parents or guardians may withdraw consent for certain non-essential optional communications by contacting their school administration or adjusting app notification preferences.

7. Children's Privacy

Shiksha Portals is designed for use by educational institutions, teachers, parents, and students under school supervision. We do not knowingly collect personal information directly from children under 18 without the explicit authorization, creation, and management of accounts by their respective school administration or parents/legal guardians.
